The Front Office Operations Assistant plays a crucial role in ensuring the smooth and efficient operation of the school's front office. This position requires a highly organized and friendly individual who can provide excellent customer service to students, parents, and staff members. The Front Office Operations Assistant will be responsible for handling a wide range of administrative tasks and serving as the first point of contact for visitors to the school.
Key Responsibilities:
Front Desk Reception
Greet and assist visitors, parents, and students in a professional and friendly manner.
Answer and direct incoming calls, taking messages when necessary.
Maintain a neat and organized front office area.
Student and Parent Support
Provide information to parents and students regarding school policies, procedures, and events.
Assist with student check-ins and check-outs, including maintaining accurate attendance records.
Distribute forms, notices, and other communications to parents and students as needed.
Administrative Duties
Manage the school's main email account and respond to inquiries promptly.
Maintain and update our student information system, ensuring accuracy and confidentiality.
Keep track of after school enrichment, bus and dismissal rosters daily.
Prepare and distribute daily announcements and other relevant information.
Assist with school event planning and logistics.
Office Supplies and Equipment
Monitor and order office supplies as needed.
Safety and Security
Monitor the entrance and enforce school security procedures.
Manage the sign-in and sign-out process for visitors and volunteers.
Follow emergency protocols and assist with drills as required.
Qualifications
High school diploma or equivalent; additional education or certification in office administration is a plus.
Previous experience in a front office or customer service role preferred.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams).
Excellent interpersonal and communication skills.
Strong organizational skills and attention to detail.
Ability to multitask and prioritize responsibilities effectively.
Friendly, approachable, and patient demeanor.
Maintains a professional appearance and behavior at all times.
Working Conditions
